Scientific Poster Session FAQs

Q: When is the deadline for abstracts for the Scientific Poster Session?

A: Abstracts are due to Richard Dalby by January 8, 2010. Please submit your abstract via our webform

Q: Is it necessary to submit my poster before the deadline, or only the poster abstract?

A: It’s only the 3-5 page abstract we need to receive before the deadline. Once our reviewers accept it, we will reserve space for your poster. We do not review the poster itself prior to the meeting.

Q: How should my abstract be formatted?

A: Abstracts should be prepared according to the RDD Abstract Guidelines.

Q: When will I find out if my abstract has been accepted?

A: Our review team will evaluate your abstract and let the primary author know by e-mail if it has been accepted for presentation at RDD 2010 by February 8, 2010. Reviewers may accept, reject or request modifications to poor quality abstracts.

Q: When will I receive my poster proofs and how soon do I need to return them?

A:  When you receive your proofs you should respond ASAP, but no later than the date specified by the publisher.

Q: Do I really need to assign copyright to Virginia Commonwealth University?

A: Yes, we cannot publish (in the paper proceedings or on our website) your abstract if Copyright is not transfered to VCU. We are required by our University Intellectual Property Foundation to obtain and keep on file a signed Copyright Transfer Form for all articles published in the RDD Proceedings.

Q: What can I display on the table in front of my poster?

A: Poster board tables have a working area of about 12 inches by 6 feet, since a table is shared by two posters. It is possible to display MDIs, DPIs, nebulizers, copies of posters, handouts, business cards and even a battery run laptop. In addition, small pieces of equipment such as impactors and small animal exposure chambers have been shown in the past - without the small animals! can also be displayed. There is NO room for conventional TV monitors/ VCR's or bigger computers, which are better suited to separate exhibit tables. Likewise, actuation stations, flow controllers for impactors, laser sizers and spray pattern testing equipment need tables. 110V power can only be supplied to exhibit tables (not posters) at a nominal cost.

Q: Can my company's exhibit table be located close to our poster?

A: Not usually, because posters and display tables are arranged separately to make maximum use of the hotel space we occupy, and to ensure posters and exhibit tables are easy for attendees to locate.

Q: How are posters arranged, and how will I find mine?

A: Posters are arranged alphabetically by the company or university affiliation of the first author. To assist authors in finding their assigned location, each empty poster board is clearly labelled with the first authors name and the title of their abstract. Our staff will show you to your location when you register.

Q: Is it possible to change the location of our poster or table?

A: In general, no. We use an alphabetical arrangement of companies so that RDD participants can quickly find your organization. However, when this arrangement places competitors directly adjacent to one another, we may adjust the order slightly to provide for more comfortable spacing.

Q: Do I have to be present throughout all the poster sessions?

A: Dedicated poster and table exhibition viewing sessions are scheduled for Monday, April 26 from 11:30 AM - 2:30 PM and 5:00 - 7:00 PM and Tuesday, April 27 from 11:30 AM - 2:30 PM and 5:00 - 7:00 PM. Posters and Exhibit tables will also be available for viewing during Monday sessions and breaks after 11:30 AM and during all Tuesday sessions and breaks. Authors are asked to be present at their posters and tables during the dedicated times listed above, and have the option of posting the actual times they plan to be at their posters and tables, and a contact cell phone number, on their poster for the convenience of meeting participants attempting to contact them. Ultimately, the presenter decides when to be present.

Q: Which poster session am I assigned to?

A: Unlike most meetings, your poster will be displayed at all the sessions.

Q: Is it OK to photograph posters and equipment during the Scientific Poster and Technology Exhibition Session?

A: We recommend that photographs be taken only after the presenter has given permission. Please note that we discourage you from taking pictures before asking, and observe that extended abstracts of posters are distributed to all RDD attendees and should contain ostensibly the same information as the posters.
