Technology Exhibition Guidelines
The Technology Exhibition is designed to offer you and your organization the opportunity to display innovative research, technology and services of interest to the medical aerosol community. It is a chance to network with industrialists, medical professionals, regulatory agencies and academics. The session is extremely flexible, but you should adhere to the following guidelines.
Making a Reservation

- Space is allocated on a first-come basis. Please request a table and register to attend the meeting early.
- Exhibitor passes are not available. You must register to attend the meeting.
- Only one table can be reserved per company.
- Only companies with confirmed reservations will have their names printed in the conference proceedings.
- An existing confirmed reservation can be revoked if your company does not register at least one participant.
Table Size
Each company receives one table. All tables are skirted with blue colored drapes and are approximately 6 feet (72 inches) long and 24 inches wide. This table is intended to allow distribution of brochures, business cards and other literature. It also facilitates demonstrations of handheld devices and can hold a laptop computer. The table is not suitable for heavy scientific equipment (>40 lbs). We can occasionally accommodate special requests when we have sufficient space available. Please contact Richard Dalby for details.
Electrical Outlets
110V Electrical outlets are available at your table but must be requested by checking a box on the Online Reservation Form. This can be paid online by credit card using our secure payment system or alternatively we will invoice you $150 before the meeting if you request an electrical outlet. We will confirm your request in the RDD 2010 Exhibitors List. The Omni Orlando Resort charges for installation of electrical outlets and we cannot guarantee to meet requests for electrical power if not requested at the time a table is reserved.
Acceptable Table Displays
RDD takes an unusual stance on limiting exhibit space compared to most trade shows. This is an effort to keep RDD less formal, interactive, promote networking and keep the focus on substance rather than promotional activities. It means that we can run RDD in smaller, pleasant venues rather than in large convention centers and allows even small companies to participate.
Please note the following rules, which are strictly enforced:
- We do not permit booths or displays standing on the floor. All display material must be on the tables we provide.
- We do not permit lighted displays.
- We encourage you to bring a table-mounted sign and promotional materials. You will be asked to remove signs or displays more than 24 inches (60cm) tall placed on the table. You may bring a printed table skirt or table cloth that drapes over your table and displays your company name and /or logo.
Technology Exhibition Etiquette
We ask that you follow these simple guidelines:
- Please occupy the table you are assigned. If you relocate, you may lose your exhibit space and brochures, promotional items and business cards may be lost or damaged in the process.
- Please accept our apologies if your table is not located close to a poster presented by your company. In many cases this is impossible for logistical reasons, and is not a valid reason to switch tables!
Waiting List
In the event that we run out of room for Exhibit Tables, we will initiate a Waiting List. If a company withdraws, fails to register one or more representatives or more space becomes available to us at the Omni Orlando Resort, we will allocate tables to companies on the Waiting List in the order they were added. Please use the normal Reservation Procedure. To be considered for a table, you must be already registered for the meeting. Companies on the waiting list are not listed in the conference proceedings.
Technology Exhibition Venue and Hours
The Technology Exhibition will be held at the following times:
- Monday April 26, 2010 from 11:30 AM- 2:30 PM and 5:00 - 7:00 PM
- Tuesday April 27, 2010 from 11:30 AM - 2:30 PM and 5:00 - 7:00 PM
The Technology Exhibition will also be available for viewing during Monday sessions and breaks after 11:30 AM (attendees will not be permitted to enter the Technology Exhibition area until 11:30 AM on Monday, April 26 except to set up their table) and during all Tuesday sessions and breaks. Exhibitors are asked to be present at their tables during the times listed above, and have the option of posting the actual times they plan to be at their tables, and a contact cell phone number, on their table for the convenience of meeting participants attempting to contact them.
To protect your property, hotel security will not allow access to the Technology Exhibition area on Sunday or Monday between 7:00 PM and 7:30 AM.
Light refreshments will be available during the Technology Exhibition.
Finding Table Locations
Tables are arranged alphabetically by company or university affiliation. To assist exhibitors in finding their assigned location, each empty table is clearly labelled with the company name.
Setting Up and Taking Down Equipment & Displays
Please ensure that your Table is set up before 11:00AM on Monday, April 26. You have two opportunities to do this:
- Sunday, April 25 from 3:00 - 6:30 PM. You may find it convenient to register for the meeting at the same time. This is the preferred set up time.
- The alternative is Monday, April 26 from 7:30 - 11:00 AM.
Displays should be removed between 7:00 - 9:00PM on Tuesday, April 27. At your own risk you may remove your display on Wednesday, April 28 between 7:30AM and 10:00 AM, but there will be no hotel security on Tuesday night. If your display is not removed before 10:00 AM Wednesday, it will be taken down by our staff and may be lost or damaged.
Loss or Damage to Equipment / Displays
The organizers of Respiratory Drug Delivery and Omni Orlando Resort will make every effort to ensure the security of the display areas during the Technology Exhibition. However, we do not accept responsibility for loss or damage to posters, equipment, devices, demonstrations, computers or any other items that you bring to this event. Please follow these simple recommendations:
- Do not leave valuables unattended at any time.
- Please take small, high value items such as laptop computers or prototype devices with you when you are not at your poster or table.
