Shipping Instructions

If a colleague or other third party is sending a shipment on your behalf, please ensure that they receive a copy of the instructions below.

We recommend shipping items to the conference hotel so that they arrive between April 20 and 24, 2010, several days before the conference begins. Please ensure sufficient time to clear customs if shipping from outside of the USA. RDD cannot accept responsibility for items delayed, lost or damaged in transit to or from the hotel.

Very Important:

The conference hotel charges handling fees on incoming packages. These are added to the hotel bill of the recipient named on the package. For this reason it is very important that package recipients be confirmed guests of the Omni Orlando Resort at ChampionsGate whenever possible. If this is not the case, you should contact Richard Dalby by email (rdalby@umaryland.edu) and request that he collect the package on your behalf. When utilizing Richard’s help the first line of recipients address should then be modified to read “Richard Dalby for (RDD delegate name)".

To confirm delivery, you should contact Danni Rossi, the Omni's Shipping and Receiving Manager and have available information on the weight, number of packages shipped, the exact name of the company that shipped the package, the carrier and tracking number(s) and the phone number of an appropriate contact person.

Please follow these guidelines:

• Please forward this information to any affiliates or colleagues that may be shipping packages on your behalf.
• Dangerous or suspicious looking materials should not be sent through the mail or via carrier services.
• All shipments are subject to inspection.
• Package fragile equipment carefully.
• Pack a roll of tape to seal boxes before sending them back home after the conference.
• Shipments of multiple boxes should be numbered appropriately. For example, Box 1 of 3, Box 2 of 3 and Box 3 of 3.
• Clearly label your package "RDD 2010, April 25-29, 2010” and include the hotel guest's name. Please also mark it Exhibitor or Poster Presenter, as appropriate.
• Ensure that your return address or that of your shipping company is clearly displayed. If you are using a third party shipper, please make sure your company and shipping company name are on the outer box. 
• Please ship to ensure timely receipt - the Scientific Poster Session and the Technology Exhibition all begin on the first full day of the conference, April 26th. Because the hotel has limited storage space, we suggest planning for your packages to arrive no earlier than April 20, 2010.
• The Omni Orlando Resort imposes Shipping & Receiving Charges. These are the responsibility of the sender, and will be added to your hotel bill.
• The Omni Orlando Resort does not accept COD shipments.
• Packages will be available for collection whenever the RDD 2010 registration desk is open. Please see the Full Conference Schedule.

Outgoing Shipments

• You are responsible for organizing the packing and outgoing shipment of your materials with the help of the hotel's Shipping and Receiving department. The hotel will make available appropriate forms and labels for FedEx, UPS and DHL. If you wish to use carriers other than these, you should make your own arrangements for completion of the necessary forms and pick up from the hotel's loading dock. 
• The pick-up address is the same as the shipping address.
