Poster Session Guidelines

The poster session is designed to offer you and your organization the opportunity to display innovative research and technology of interest to the aerosol community. You must have a poster abstract accepted for publication before you will be allowed to present a poster. This session is extremely flexible, but you should adhere to the following guidelines.

Poster Board Size

Poster SizeAll poster boards have a usable display area of approximately 94 x 46 inches. There are approximately 12 inches of useable table beneath each board. The table is skirted in dark blue. The poster board surface is white and will accept push-pins or Velcro®.

Poster Board Tables

A separate table reservation is not required - each poster board has a table directly in front of it. This table is intended to allow distribution of copies of the poster, business cards and other literature. It also facilitates demonstrations of handheld devices and can hold a laptop computer. The table is not suitable for heavy scientific equipment (>10 lbs or 5 kg) and will probably not be located close to an electrical outlet. We can occasionally accommodate special requests if we have sufficient space available. Please contact Richard Dalby if you have any questions.

Poster Making Advice

A poster is intended to be read quickly in a busy room, and provoke discussion. Posters which are visually appealing and legible make the biggest impact.

  • Individual panels or a single roll-up poster both work well. Avoid heavy lamination of roll-up posters - it makes them curl up and fall down!
  • Keep the design simple and avoid flashy backgrounds that detract from the content.
  • Try to keep your abstract focused on one or two essential themes. Emphasize the important points.
  • Please use the largest font possible. Black type on a pale background shows up best. Your text should be easily readable from more than 4 feet away. This allows more people to read your poster at once.
  • Include diagrams, tables and figures. Use thick lines and large fonts to ensure readability.

Poster Session Etiquette

Your poster content should be very closely related to your published abstract, and follow the same guidelines. Specifically:

  • Ensure that all claims and conclusions are supported by data on the poster or by references.
  • Do not include speculative or unsubstantiated comments.
  • If your abstract involves a device or instrument, avoid making comparisons to competing products unless substantiated by data or references.
  • Please do not re-present a poster from a previous meeting.
  • Please occupy the poster board to which you are assigned. If you relocate, your poster will be removed and may be damaged.
  • Please be present at your poster to answer questions for at least an hour each time the Scientific Poster Session is open. If you don’t plan to stay the whole time it’s helpful to display a sign showing the times you plan to be present.

Poster Session Venue and Hours

Posters will be displayed at the following times:

  • Monday April 26, 2010 from 11:30 AM - 2:30 PM and 5:00-7:00 PM
  • Tuesday April 27, 2010 from 11:30 AM - 2:30 PM and 5:00-7:00 PM

Posters will also be available for viewing during Monday sessions and breaks after 11:30 AM (attendees will not be permitted to enter the Scientific Poster Session area until 11:30 AM on Monday, April 26, except to set up their poster) and during all Tuesday sessions and breaks. Authors are asked to be present at their posters during the times listed above, and have the option of posting the actual times they plan to be at their posters, and a contact cell phone number, on their poster for the convenience of meeting participants attempting to contact them.

To protect your property, hotel security will not allow access to the Scientific Poster Session areas on Sunday or Monday between 7:00 PM and 7:30 AM.

Light refreshments will be available during all poster sessions.

Finding Poster Locations

Poster are arranged alphabetically by the company or university affiliation of the first author. To assist authors in finding their assigned location, each empty poster board is clearly labelled with the first authors name and the title of their abstract.

Setting Up and Taking Down Posters

Please ensure that your poster is set up before 11:00AM on Monday, April 26. You have two opportunities to do this:

  • Sunday, April 25 from 3:00 - 6:30 PM. You may find it convenient to register for the meeting at the same time. This is the preferred set up time.
  • The alternative is Monday, April 26 from 7:30 - 11:00 AM.

Posters should be removed between 7:00 - 9:00 PM on Tuesday, April 27. At your own risk you may remove your poster on Wednesday, April 28 between 7:30 AM - 10:00AM. Please note there will be no hotel security on Tuesday night. If your poster is not removed before 10:00 AM Wednesday, it will be taken down by our staff and may be lost or damaged.

Loss or Damage to Posters

The organizers of Respiratory Drug Delivery and the Omni Orlando Resort will make every effort to ensure the security of the display areas during the Scientific Poster Session. However, we do not accept responsibility for loss or damage to posters, equipment, devices, demonstrations, computers or any other items that you bring to this event. Please follow these simple recommendations:

  • Do not leave valuables unattended at any time.
  • Please take small, high value items such as laptop computers or prototype devices with you when you are not at your poster or table.
